Photos and Images are elements that-used sparingly and appropriately-can add to a book’s message. We encourage authors to use photographs and images with caution, as they have a tendency to detract from the reading experience and may increase the retail price of your book. Only images you consider essential to your message should be submitted for approval.

If you would like to incorporate photographs, tables, or charts into your book, these elements need to be handled in a special way to ensure a high-quality and professional product. All content must be submitted for approval in the appropriate format before production can begin. Here’s what you need to know:

1. What should I do with my images (charts, photos, or tables)? All images must be removed from the main manuscript file.

a. Photos and Drawings: Photographs and drawings must be submitted in .jpg, .tiff or .psd format, and 300 dpi. Each photograph must be its own file and named by number/order of appearance. For instance, the first photo in the manuscript should be removed from the manuscript and saved in the proper format under the name Photo 1. The next photo should be placed in a separate file saved under the name Photo 2.

b. Charts and Tables: If you have charts and/or tables, they must each be saved in a separate Microsoft Word document or Excel spreadsheet (one table/chart per document) and named by number/order of appearance [e.g. Chart 1, Chart 2, etc.].

These separate files will be reviewed for approval by our editing department, and therefore should be saved and submitted with the submission of the manuscript.

2. Where will my images appear in the manuscript?

You have two options:

a. Your images may appear near the text they are attempting to illustrate. If this is your preference, in the manuscript in place of your removed images, please place a bracketed “note to layout” with the corresponding image number For example: [Note to Layout: Insert Photo 1 (or Chart 1, Table 1, etc.)]. (Feel free to cut and paste.)

b. Your images may work best in a stand-alone section toward the middle of the book. If this is the case, you only need to type one note at the very beginning of your manuscript: [Note to Layout: All Photo Section].

3. Do I have to own the rights to my images? Can I use an internet image?

You must own the copyright (i.e., taken or created the image yourself) to an image or be licensed (i.e., received written permission from the owner) to use it in order to include it in your book. Merely mentioning where you found the image is not enough. Images taken off of the Internet are not free or public domain and are not of acceptable quality. 4. What if I have captions?

Captions must be removed from the manuscript. Place all captions for photographs in a separate Word document as a running list and labeled according to the photo numbers. Please save this document under the file name Photo Captions. This document must be submitted along with your manuscript.

5. How and when should I submit my images or charts?

When submitting your manuscript to production, you must submit all images (this includes photographs, charts, graphs, etc.) for approval to Tate Publishing. While we consider 3-7 images more than enough, we have an absolute limit of 30 total photographs, charts, graphs, etc. permitted within the manuscript. Please make sure the material you are submitting directly supports the text you wish to illustrate. As your publisher, we are here to make sure your book is of professional quality, so if the photos, charts, graphs, etc. are unwarranted or do not meet Tate’s standards, then they will not be approved.

To submit for approval:

Photographs: Please submit all photographs (and photographs only) on a CD mailed to: Tate Publishing & Enterprises LLC, ATTN: Photo Department, 127 East Trade Center Terrace, Mustang, OK 73064. Any questions about photograph submission can be sent to [email protected].

All other visual aids: Please send all images that are not photographs (any tables, charts, graphs, etc.) to [email protected] for approval. All materials must be submitted before editing begins.
